Fundación Sanitaria Mollet

A Success Story from Common Managment Solutions

COMMITMENT TO INNOVATION TO IMPROVE PATIENT SERVICE

Since its creation until today, the Foundation has maintained constant growth, and currently the area of influence includes a total of ten localities, all in the province of Barcelona, which means providing health care to more than 165,000 inhabitants.

The WFTU has a staff of more than 1000 professionals and develops its activity in two lines of care: health, with the Acute Hospital, Mental Health and Social Health Hospital, and dependency, with two residences for the elderly and another for people with intellectual disabilities.

The objective that moves the Fundació and all its professionals has always been the same: to place the patient at the centre of their activity and to offer them the best possible assistance, through quality, innovative and sustainable services that make the Fundació a benchmark in the improvement of the quality of life and well-being of people. To this end, it has launched important projects in the fields of healthcare and patient care, as well as in the area of infrastructure and social commitment to the environment.

THE TIC ENSURE CONTINUITY OF CARE

TIC and innovation are concepts that for years have been implicit in the strategic planning of FSM. Any strategic line of business processes, includes actions in which technological support is basic to achieve the objectives, through improvements in technological infrastructure, or through software that increases the efficiency of processes.

Currently the challenges of FSM in terms of ICT are focused on improving the quality of care of the patient, and optimize the continuity of care through interoperability between centers and the sharing of relevant clinical information between different areas of care in the territory. We also progressively adopt mobility solutions so that professionals have immediate access to clinical information that helps them make decisions and avoids unnecessary trips to patients.

The volume of healthcare information handled is growing. Not only that which is generated by the HIS itself, but also that which arrives through electromedical equipment and the systems of other centres and institutions in the sector. This exponential increase in information requires a platform capable of managing it efficiently, and presenting it in an appropriate way, depending on the profile of the professional who accesses it, manager or clinician.

“SAP HANA is the cornerstone on which we will be able to start new projects of reporting, analysis and data exploitation, both at a managerial and clinical level. We will be able to offer our professionals new tools of great added value, at the service of our patients, with excellent response times”

“The migration from Oracle to SAP HANA, while demanding in terms of the effort to adapt our environments, could be done quickly and with minimal impact on the user, which is essential in a hospital with 24×7 operation”

SAP IS-H PLATFORM FOR IMPROVING HEALTHCARE

FSM had information systems, some of them tailor-made, difficult to scale, with complex integrations and specific dedicated infrastructures, which implied redundant data, complexity in data exploitation, little margin for evolution and high management and maintenance costs. This model could hardly fit in with a firm commitment to innovation, nor did it ensure the easy adaptation of the systems to the future needs of FSM.

Analyzing the market, FSM managers found that SAP was the supplier with a broad, consolidated and contrasted portfolio to cover all business processes, including clinical. This led them to implement, a few years ago, the SAP IS-H vertical solution, a platform that enabled the management of all areas related to patient care and its relationship with healthcare personnel.

After SAP’s launch of its SAP HANA platform, the WSF bets on it, migrating not only its ERP to the new version in HANA, but also performs the migration of SAP IS-H, which allows it to face with guarantees the exponential increase of clinical information records, also achieving a flexible and extensive data storage and information management, structured and unstructured, immediate and reliable, which is a competitive advantage in the sector, allowing to gather information from patients in real time and extract ideas for treatment.

FSM has chosen SAP HANA to approach future projects with guarantees. The evolution of current SAP systems and new implementations of their tools, without having done this previous step, would be much more expensive, as well as limiting capacities and performance.

SAP ALIGNS INNOVATION WITH EXHAUSTIVE ANALYSIS OF INFORMATION

Once the supplier was chosen, the next step was the choice of the partner for the implementation of the project. At this point FSM’s bet was clear. COMMON was the company chosen because it is one of SAP’s strategic partners in the healthcare sector, which gives it a deep knowledge of the healthcare sector.

Together with COMMON MS, the WSF defined the main objectives of the project. The first, the technological and infrastructure renovation of the entity, to have information systems appropriate to their needs, current and future. Secondly, to have a platform for the analysis of information through SAP HANA, optimizing its performance.

And lastly, the upgrade of SAP ECC EhP7, to take advantage of the functional improvements provided by the new version, with the final objective of undertaking the implementation of SAP IS-H on SAP HANA.

The migration project started in September 2015 and was carried out in two phases. In the first phase, functional tests were carried out with business users in order to optimise system downtime. The migration took place over a weekend and on Sunday the hospital was already working normally.

In the second phase, we migrated to SAP HANA, and we worked for three weeks in intensive tests, which allowed us to know the real migration times, ensuring the correct functioning in the start-up. The financial and assistance areas were involved in order to ensure the correct operation of the processes and the migration.

INCREASE THE POTENTIAL TO ASSIST IN DECISION MAKING

All this new technological infrastructure is supported by a virtualized platform, VMware Virtual Platform, formed by one application server per environment, with SAP HANA database distributed in two appliance. The operating system is SUSE Linux Enterprise Server 11.

Currently, SAP HANA supports the hospital’s economic-financial, logistical and healthcare processes. In the clinical care area the criticality is daily, as doctors and nurses need to have the system 24x7 at full performance.

It is a large volume of data in real time, so it is essential a critical hardware infrastructure that supports a large concurrency of users and workload, without penalizing the continuity of service, ie patient care.

In the clinical area, once the SAP clinical layer is up and running with IS-H MED and thanks to SAP HANA, there will be a tool with great potential to carry out the structuring of clinical information relevant to decision making, which will ultimately benefit patients.

SAP HANA REDUCES SYSTEM RESPONSE TIME BY 30%.

The WSF has met all the objectives set at the start of the project, both on the scheduled dates and in the maximum optimisation of system downtimes. With this, Fundació Sanitària del Mollet has become the first hospital to migrate to SAP HANA, a challenge for the organisation.

As for the benefits obtained by the entity, the migration to SAP HANA has reduced the response time of the system by 30%. In certain areas, the execution time of massive processes has been reduced by 15 times, substantially improving the backup execution time, which has gone from two hours to fifteen minutes, achieving a reduction in its impact on nocturnal processes.

Those responsible for the organization expect to achieve significant benefits when the entire clinical layer has been implemented, as new possibilities will be opened from the point of view of exploitation and data analysis, both clinical and management.

This project has also meant a technological leap for the WSF, which allows it to ensure the evolution of their current SAP systems, through the best possible platform, ensuring scalability, compatibility and updating of the modules implemented with the latest improvements available.

With the implementation of SAP HANA, and once the entire clinical layer IS-H MED is available, the Foundation will also take a qualitative leap in the quality of patient care, putting all resources at the service of personalized medicine.

“SAP HANA is the platform that allows us to face the challenges of the future with more guarantees, and at the same time positions us as a reference of SAP within the health sector. We will be able to manage and exploit a very high volume of information in a time of process unthinkable a few months ago”

Director of Information Systems

FUTURE

With SAP HANA, the WSF can propose various projects in the medium and long term, focused on improving its analytical and predictive capacity, thanks to better exploitation of data. SAP HANA opens new avenues in the field of research. There are already international initiatives where, using it as a health information platform, taking advantage of Big Data and collaboration between centres, better quality health care and improved prevention are achieved.

In the short term, FSM’s most ambitious project is the implementation of the SAP vertical solution in its clinical layer (IS-H*Med), in all areas of care, including nursing care plans, prescription processes, dispensing and pharmaceutical administration, all to give continuity to the implementation of the administrative layer of care (IS-H).

“The migration from Oracle to SAP HANA, while demanding in terms of the effort to adapt our environments, could be done quickly and with minimal impact on the user, which is essential in a hospital with 24×7 operation”
